The question is why — and what experience is needed — to ensure that airport pickup and drop-off services run as smoothly and efficiently as possible.

Many customers ask us about renting 35–45 seater buses (for large groups from 30-40 people) from VietnamPathfinder for airport pickups (Noi Bai, Tan Son Nhat, or Da Nang airports). We usually recommend — or even require — hiring a professional tour guide together with the driver for airport pickup. The reasons are:

Based on many years of experience, my main concern is when flight arrival times are changed unexpectedly, or when passengers arrive and the exit gate is changed. The distance between airport gates can be quite far, making it difficult for large groups with a lot of luggage to move around. 

Not to mention situations such as lost baggage, immigration document issues, or other unexpected problems after arrival — these are matters that only a professional tour guide can effectively handle. Therefore, hiring a tour guide for large groups is both necessary and highly beneficial.

Even for an airport transfer, I would still strongly recommend that you hire a tour guide. For example, if there is an accident on the highway to the airport and the road becomes blocked, the driver may not be able to handle the situation effectively due to limited English skills and lack of professional experience in dealing with unexpected travel issues, unlike an experienced tour guide.

 

The roles and responsibilities are different, and they need to work together closely to ensure everything runs more smoothly and efficiently. 

When arriving at the airport to welcome a group, the tour guide will check the electronic flight information board to confirm the exact arrival gate, whether the flight is on time, delayed, or if the exit gate has been changed (which may differ from the information previously provided by the customer). The tour guide will then hold the welcome sign and wait for the guests after they have completed immigration procedures, collected their luggage, and started exiting the airport.

After confirming that all passengers and their luggage have arrived, the tour guide will call the driver to move the VPT bus into the pickup area. The distance between the waiting area for drivers and the passenger pickup point is usually quite far, so the driver and tour guide must coordinate smoothly and efficiently to match the requirements of each part of the job.

The driver’s responsibilities, when accompanying the tour guide to the airport for guest pickup, usually begin with arriving at the airport at least 30 minutes before the flight lands. The driver will check and clean (the seats and floor) of the bus once again before pickup.

Once receiving a call from the tour guide requesting the bus to move into the pickup area, the driver will proceed accordingly. After all passengers have boarded the bus and listened to the tour guide’s necessary instructions and information, the driver will arrange and load all luggage into the luggage compartment. 

Upon arrival at the hotel, the driver will coordinate with hotel staff to unload the luggage, carefully recheck all belongings in both the passenger cabin and luggage compartment, and hand everything over to the hotel staff before driving the bus back to the company (VietnamPathfinder) parking station in each city, officially completing the airport pickup service.
